There has been a recent modification to eligible match requirements that might help. The City Payroll Construction cost totaling $2,144.34 noted in the first invoice as part of the project
total cost would be considered eligible for local match IF the expense was for necessary staff time directly related to in-house completion of design, right-of-way acquisition, or construction
including inspection and/or construction management. Assuming that cost is eligible, this invoice would need the following additions/modifications:
1) Photos of the completion project
2) A signed Claim Form
3) Backup documentation showing $2,144.34 is an eligible expense
4) A signed Reimbursement Request
If the $2,144.34 is not an eligible expense, or if you are unable to provide backup documentation for the expense, the first invoice Reimbursement Request & Claim Form would need to
be modified to show a total project cost of $39,324.99, of which SBCTA would reimburse the City for $33,426.24 with a local match of $5,898.75.
Whichever the City decides to go with, the key is that the SBCTA will only reimburse 85% of the total eligible project costs and the invoice must adhere to the invoice requirements noted
in the Check List (see Claim Package).

That is not the award referenced in No. 2 below; the 2019 transit award project has not yet expire therefor I did not include it in my inquiry.
Unfortunately, my predecessor did not leave his records in the best of shape so much of what I've been working from are adopted SBCTA Board items (see last page of attached) and financial
records maintained by our Fund Administration group.
Nancy, does the Transit Department happen to have any records pertaining to Allocation S-1606-41?

I am in the process of putting a Board item together requesting recessions and extensions for TDA Article 3 awards and need to make sure we have all of our outstanding award issues addressed
before doing so. I sent you and your team a couple of emails in early October regarding several of the City’s expired awards however, none have yet been addressed/resolved. If an extension

I apologize as it does not look we ever paid this one. We do appear to have some of the required documents on file including the Authorizing Resolution and Minute Action authorizing
project completion. However, it looks like we’re missing a signed Claim Form. It also looks like staff time has been included which is not considered a TDA Article 3 eligible match.
Can you please complete and submit a signed Claim Form and adjust the Reimbursement Request Form to exclude City staff expenses?
